Spam through your survey and registration forms takes time to clean up and clutters your data. At the same time, you don’t want to burden your visitors with difficult checks. From now on, you set the ‘Spam prevention level’ per form, instead of adding a captcha element to the form yourself. You can find this setting under ‘Spam Prevention’ on the ‘Settings’ tab of the form.

You can choose between two levels:

Basic: invisible protection against bots, without bothering your visitors.

Maximum: everything in Basic, plus a visible captcha that visitors have to complete.

Forms that already contained a captcha element have automatically been set to ‘Maximum’. For your organization, the protection of existing forms stays the same.

The invisible protection of the ‘Basic’ level has been extended. Together, these measures stop enough spam in most cases:

A <dfn data-glossary-id="1" data-term-id="honeypot-en-" class="c-term">Honeypot</dfn> is added by default to forms where it makes sense. You no longer have to choose between a honeypot and a visible captcha.

Forms have a minimum completion time of one to two seconds. A visitor won’t notice, but a bot that fills in forms at lightning speed will.

A new check based on <dfn data-glossary-id="1" data-term-id="altcha-en-" class="c-term">Altcha</dfn> asks the visitor’s browser to solve a small calculation. On a regular computer, nobody notices this.

A firewall already blocks a lot of unwanted bot traffic before it reaches your forms.

Do you choose ‘Maximum’? Then you decide which type of captcha your visitors see:

Procurios: your visitors type the characters shown in a distorted image. This image is generated and checked on your own website, so no visitor data is shared with third parties. This captcha has also been improved. It no longer stops advanced spammers, but it is still better than no protection at all.

reCAPTCHA Enterprise: a service from Google. Your visitors usually don’t have to solve a task, and you get extra protection. However, visitor data is shared with Google. Mention this in your privacy statement and, where the law requires it, ask your visitors for consent.

Only users with the SuperUser role have access to the CAPTCHA settings.

CMS/Memberships: let members cancel their own subscription in member portal

Your organization wants members to manage their own subscriptions without having to call or email. From now on, you can let your members cancel their subscription themselves in the member portal on your website.

To do this, add a cancellation page to the 'My subscriptions' article type. Your members choose the end date of their subscription themselves, which is no earlier than the next due date. You also choose which reasons your members can select when they cancel.

Does a subscription need to end early, for example because of a member’s passing or another valid reason? Then you decide how members or their relatives can let you know, such as by phone or email. Add that information in a content article on the page where the cancellation option appears.

CMS/Memberships: link the payment page to 'My subscriptions'

Do you work with <dfn data-glossary-id="1" data-term-id="payment-invitation" class="c-term">payment invitations</dfn>, for example for memberships in Belgium? Then you want members to see in My environment which subscriptions they can renew, and pay for them right away.

From now on, you can link your existing payment page to the 'My subscriptions' article type. Your members see a renewal link with their subscriptions and go straight to the payment page.

CRM: find relations with a failed direct debit by failure reason

A direct debit fails, and you want to know why. Perhaps the account identifier is incorrect, or the account has been closed. Each reason calls for a different follow-up.

From now on, the ‘Direct debit instruction’ filter in the CRM also lets you filter on ‘Failure reason’. This helps you find all relations with a failed direct debit instruction for a specific reason, such as ‘AC01: Account identifier incorrect’ or ‘AM04: Insufficient funds’.

Combine this with the failure date and you only keep recent cases. This way you can build a relation list of the relations you want to contact, for example to ask for a new bank account number. Or to follow up for another reason.

Donations: config sets with only the right funds and payment methods

Each administration in your organization has its own bookkeeping codes, payment methods, and direct debit collectors. A Dutch and a Belgian administration therefore each work with their own set. With a <dfn data-glossary-id="1" data-term-id="config-set-for-donations" class="c-term">config set,</dfn> you determine how your donors donate online: to which fund, with which payment methods, and through which collector. Because these items belong to an administration, you now always create a config set within one administration.

You can only choose from the funds, payment methods, and collectors of that administration. This way, you never link a payment method from one administration to a fund from another by accident.

A set with funds from different administrations is therefore no longer possible. Create a separate set/donation form for each administration.

Do you want to use an existing set for another administration as well? Then duplicate the set. If your environment has multiple administrations, you first choose the administration the copy will go to. If you choose a different administration, the fund, payment methods, and collector are cleared, because they belong to the other administration. You select these again, so the new set is set up correctly right away.

Meetings & Events: clearer steps and buttons for invoicing tickets

After your event, you want to invoice tickets quickly and correctly. Under ‘Financial’ and then ‘Invoicing’, this now takes two clear steps. Tickets that are ready to be invoiced appear in the ‘To invoice’ tab. Once invoiced, you will find them under ‘Processed’. An extra step is no longer needed, because nothing has to be calculated for tickets.

The button also tells you exactly what happens when you click it. Depending on the payment settings of your event, it reads ‘Create invoices’ or ‘Create invoice orders’. This way you know beforehand whether you are creating invoices right away or preparing invoice orders for Finance.

Meetings & Events: only the payment methods of the selected administration

Each administration in your organization has its own bookkeeping codes, products, and payment methods. In the payment options of a meeting, you first choose the administration that receives the payments and invoices for that meeting. From now on, the online payment methods depend on that choice. You only see the payment methods that belong to the selected administration. This way, your Dutch meeting does not offer a payment method from your Belgian administration, and the other way around.

Do you choose a different administration? Then also check the payment methods you set for the meeting, so they match the new administration.

Platform: slightly updated login screen

Your staff and volunteers log in through the login screen of the Procurios Platform. This screen will soon get a slightly updated look. The typography has been adjusted and the ‘Forgot password’ button now sits in a slightly different place.

Logging in works exactly the same as before. Users at your organization may have questions about the new look, for example because they wonder whether it really comes from Procurios. That is why you can read about this small change here. This way, you can reassure concerned colleagues.

Do you use screenshots of the login screen in manuals or instructions for your staff and volunteers? You can update them now.

Can your users choose between languages on the login screen? The flags have been replaced with language codes.

Other changes in this release

Bulk-edit campaigns for donations: did you forget to link a engagement action to a donation form or appeal? You can now update the linked action in bulk via Donations.

Include submitted fields manually (CMS Forms & Surveys): When you send a confirmation email to the person who submitted a form, you can choose whether to also include all submitted data below the email text. From now on, this option is turned ‘off’ by default for new forms.

Download the ICS file directly after registration (Meetings & Events): On the confirmation page after registering for a meeting, participants can now download the calendar item (ICS file) directly. Previously, they could only email it to themselves. The setting on the meeting is therefore now called ‘Show link to download a calendar item’. If the old option was turned on, it has been converted automatically. Nothing has changed for the calendar invitation that is automatically attached to the confirmation email.

Does your organization work with multiple administrations, for example for different legal entities or departments? The 'My invoices' content block lets you show invoices to your members or donors on your website. You're no longer limited to choosing one administration or all of them together. You can now select your own combination of multiple administrations. This way, you decide exactly which invoices your members or donors see.

Finance: more insight into the structure of your journal entries

From Accounting, you regularly send<dfn data-glossary-id="1" data-term-id="journal" class="c-term"> journal </dfn>entries to your accounting software. Sometimes you notice an amount or a general ledger account that you can't immediately explain. Until now, it was hard to find out exactly where this came from.

That is why you now find the new 'View report' option in the period overview within Accounting. This gives you insight into how your journal entries are built, even before you run the accounting export. In the overview, you see the financial data exactly as it appears in your journal entries. This way, you can check at a glance whether everything is correct, or if something needs your attention.

Want to know more? Open the detail page of a report. Here you see how the journal entries are built up per product, such as invoicing, online payments, or bank transactions. You see the source data (for example an invoice number or a link to the meeting or membership), the general ledger account, the amounts, and VAT where applicable. Prefer to work with an overview in a CSV file? Then export the details separately from the detail page. This export shows the same information as the report, with the financial source data added.

The columns you see are based on your journal entry configuration. If you haven't set up a column for the general ledger account in your accounting export, you won't see it here either. Do you use the standard export definitions for Exact Online or King? Then the information is based on that specific configuration. Do you work with Twinfield? Then the entries are already split out, but the detail view still gives you more information.

Read more about journal entries in the Help Center.

Meetings & Events: set time zones for international events

Does your organization run events in multiple countries? Then you want your platform to keep up with you. From now on, you can set a specific time zone for an event. You enter dates and times based on the time zone of that particular event, and your website clearly displays this time zone too. This way, your attendees always know exactly what time to expect, whether the event takes place in Amsterdam, New York, or Nairobi.

Please note: this depends on your website template. The Sapphire template supports this by default. Do you use a custom template? Then it may still need to be added. Please contact your account manager or dedicated consultant about this.

You can activate the use of time zones in the general settings of Meetings & Events.

Memberships: set surcharges as a percentage

Do you charge extra for members who don't pay by direct debit, or for another exception to your standard rate? When setting up a surcharge rule for memberships, you can now choose a percentage as well as a fixed amount. This way, the surcharge automatically scales based on the membership price.

This option works the same way as setting a percentage for a discount rule.

Read more about setting up discount and surcharge rules in the help center.

Platform: a calmer way to navigate the menu

You often use the menu on the left side of the platform to switch between sections. This menu has been refined in a few ways, so navigating feels even smoother.

If you've collapsed the menu, moving your mouse over a menu item now shows just the title of that item, instead of the whole menu expanding right away. This creates a calmer view. Want to expand the full menu? You can still do that with the expand/collapse button.

It's also easier to see which menu item is active. Previously this was shown with a blue line, now the active item stands out with a clearly different background color.

Other changes in this release

View and manage payment methods per administration: A payment method is always linked to a specific administration. This is now reflected in the overview: you first choose an administration, then see its payment methods, instead of one list with all payment methods.

Changed input field order for direct debit agreements: Previously, when manually adding a new direct debit agreement, you had to enter the direct debit details first, followed by the contact details. However, the mandate number is automatically generated based on the contact's bank account. The input order has therefore now been reversed.

When managing your member database, you often want to select members based on age. Think of a youth division for members under eighteen, or a campaign specifically for seniors. Without a direct age filter, this required a workaround.

You can now search date fields in the CRM using two new options:

'last X years (age; younger than)': this returns all relations whose date is less than X years ago. For the 'date of birth' field, that means all relations younger than X years.

'at least X years ago (age; at least this old)': this returns all relations whose date is at least X years ago. For the 'date of birth' field, that means all relations who are at least X years old.

By combining the two options, you can easily define an age category. If you set one option to eighteen years and the other to twelve years on the 'date of birth' field, you'll find all relations who are at least twelve and not yet eighteen years old.

The new options work for all date fields in the CRM. You can use them beyond age-based searches too, for example to filter on the start date of an event.

Donations/CMS: route donations to the right fund via URL

When managing donations for multiple chapters or projects, your organization may run into a practical challenge. You want donations to automatically go to the right chapter's fund, but creating a separate donation form for each fund takes a lot of time and effort.

You can now include a fund ID in the URL when linking to a donation form, using the '?fund=' parameter followed by the fund's ID. For example: 'https://example.com/donate?fund=1'. This automatically routes the donation to the correct fund, without your donors having to make a choice. You can create a unique URL for each chapter that points to the same form, while still automatically directing the donation to the right fund.

If you don't include a fund ID in the URL, the form works exactly as before. If the form includes a fund dropdown, your donors will still see it. If there's no dropdown, the top fund in the form's configuration is selected automatically.

Please note: the fund you include in the URL must be available in the form's configuration. It's not possible to route a donation to a fund that is not part of that configuration via the URL.

Finance: add a customer reference to invoices

When managing your organization's invoicing, you may run into situations where business relations require a customer reference on their invoices. Without it, they cannot link the invoice internally to the right project or employee, making the payment process unnecessarily complicated.

Order-specific references were already available per transaction. You can now also set a customer reference at the relation level. Add the 'Customer reference' field to your registration or profile form so your members or contacts fill it in once. The reference is stored at the debtor in billing. This means all transactions linked to that relation, whether a membership, order, or event, automatically reference the same customer reference.

In the invoice template, you can choose whether to display the customer reference. Want to use different wording? Customize the label under 'Own terms for invoices' to match your organization's terminology.

Using <dfn data-glossary-id="1" data-term-id="peppol-en-" class="c-term">Peppol</dfn>? The customer reference is included automatically with every invoice.

Memberships: see which payment invitation will be sent

When setting up your <dfn data-glossary-id="1" data-term-id="payment-invitation" class="c-term">payment invitations</dfn>, you may run into a situation where multiple configurations apply to the same membership. For example, you have a separate configuration for the 'Family membership' type and a general configuration for all members. Which payment invitation does the platform send in that case? And how do you find out if something isn't right?

From now on, you can see step by step how the platform selects a payment invitation for each membership. There are two ways to access this:

Go to the administration settings under 'Payment invitations' in Memberships and click the 'Explanation' button. Select a membership and you'll immediately see which invitation will be sent and which steps were followed to reach that selection.

Open the list of renewable memberships under 'Payment invitations' and click the 'i' icon next to a membership. You'll see the same information for that specific membership.

If no matching payment invitation is found, you'll receive a notification, so you know right away that a configuration is missing and can add one.

Read more about payment invitations in the help center.

Other changes in this release

Updated text editor: When managing content in the platform — whether it's a mailing, a blog post, or a registration form — you use the same text editor throughout. This editor has been updated to a newer version and looks slightly different from what you're used to. All features work the same way: formatting text, inserting images, and adding links all work just as before.

Filter by invalid value: When filtering in the CRM, you can now also select 'contains an invalid value' for multi-select fields. An invalid value can occur, for example, when an option is removed from a multi-select field but was still assigned to a contact. Filtering on this lets you identify which contacts may have incomplete or outdated data.

Sapphire – Year in event list: If an event falls in the next calendar year, the year will now be shown in the event list. Also check out the other changes in the Sapphire changelog.
