CMS/Meetings & Events: show attendance status for past events

When managing your events, you record the attendance of your members or participants. On the member portal, the 'My events' article shows an overview of upcoming and past events that someone registered for. Until now, registration and attendance were indistinguishable: the list showed everyone who had signed up, regardless of whether they actually attended.

From now on, you can choose in the article settings to display attendance status as a column. This way, your members can immediately see whether their attendance at a past event has been recorded as present. The heading above the list of past events has also been updated, so it no longer suggests that attendance is always verified.

Finance: automatically sending paid invoices via Peppol

When a relation registers for a membership or signs up for an event, an invoice can be generated. If your organization uses Peppol, these invoices previously had to be sent through the Peppol network manually — which takes time, especially when processing a high volume of transactions.

From now on, invoices generated through these processes are sent via Peppol automatically, even when payment was made before the invoice was created. This applies to all processes where invoicing has been configured, such as membership registrations or event sign-ups. The invoice is also sent when it has not yet been fully paid.

No additional setup is required. As long as Peppol is already configured for your organization, invoices will be sent automatically going forward.

Finance: include payment link in Peppol messages

You send invoices via Peppol and want to make it as easy as possible for your relations to pay. Until now, the Peppol message only contained invoice details — but no direct way to pay.

If you use the 'Invoice payment' module, you can now include the payment link in the Peppol message. To do this, enable the 'Add payment link' option in your settings. The payment link is added as a text note to the XML message, allowing the recipient to navigate directly to the payment page.

Finance: invoice PDF automatically included in Peppol messages

A Peppol message is itself a complete invoice. In practice, however, recipients of Peppol invoices regularly ask for an attached PDF. Not everyone is fully set up yet to automatically process Peppol messages, and a PDF gives them direct insight into the invoice details.

From now on, the PDF of the invoice is automatically included as an attachment in the Peppol message. No additional setup is required — this works immediately for all Peppol invoices you send.

Finance: VAT exemption passed on correctly via Peppol

When managing your administration, you may run into the fact that your organization is not subject to VAT. Invoices sent via Peppol must reflect this correctly. Until now, there was no way to include this information automatically in the Peppol message.

From now on, you can indicate in your administration settings whether your organization is subject to VAT. If you select 'No', you enter a tax exemption code — a so-called VATEX code that specifies on what grounds your organization is exempt from VAT. This code is automatically included in the XML message sent to Peppol.

Mailings: more formatting options in the Template Generator

When creating mailings, you want the design to match your organization's house style. The Template Generator helps you quickly build an email template without any technical knowledge. Three additional options are now available, giving you even more control over the look and feel of your mailings.

Font

You can now choose between a sans-serif font (default) or a serif font. Think of Arial for a modern, clean look, or Times New Roman and Noto Serif for a more classic feel. You set the font separately for headings and for body text.

Rounded corners

You can choose between straight corners, slightly rounded corners, or a wider rounding. This is set separately for buttons and images. Please note: rounded corners are not supported in Outlook. Relations who open your mailing in Outlook will simply see straight corners instead.

Link on images

This setting makes all images in your mailing's content blocks clickable. It applies to the entire template and cannot be turned on or off per image or content block within the generator. Want to adjust this for a specific image later? A template administrator can do so after the template has been created.

Meetings & Events: targeted evaluation questions per attendee

When organizing larger events with multiple activities or sessions, you want to know what attendees thought of them afterward. You send out an evaluation, but not every attendee participated in every activity. Until now, all attendees received questions about all activities, resulting in long lists filled with "not applicable" responses.

From now on, attendees will only see evaluation questions about the activities they registered for, plus any activities that didn't require registration. This keeps the evaluation concise and relevant, and ensures that the results you receive are actually useful.

Memberships: find payments faster using the payment reference

When processing bank transactions manually, you want to quickly link the right subscription or payment invitation to a payment. This isn't always straightforward: sometimes a relation enters the payment reference in the wrong field of their bank transfer, or the transaction isn't imported automatically. Until now, searching by payment reference wasn't possible for subscriptions or payment invitations, which could make finding the right match time-consuming.

From now on, you can search by (part of) the payment reference in both the subscription overview and in payment invitations. This makes it easy to find the right payment, even when the description isn't an exact match. For payment invitations, the payment reference is now also always visible as a column, directly next to the 'Amount' column.

CMS: set retention period for stored cookies

When a visitor to your website consents to the placement of cookies, this consent is stored so that it can be traced back to the purpose for which consent was given at any time.

From now on, this consent is automatically retained for five years, after which it is automatically deleted. You can extend this period to seven years if desired.

Finance: improved search function bank transaction

Your organisation regularly processes bank transactions for donations, membership fees and other income. A fast and reliable search function is essential for finding specific transactions. Filter functions must also work properly and importing files with multiple bank accounts should run smoothly.

Following the recent renewal of the bank transaction module, we have implemented various improvements. The main addition is the return of the search function for transactions. This now works in the same way as searching for relations in the CRM and is significantly faster than before.

Marketing Automation: prevent unwanted journeys with duplicate relations

A relation has been involved with your organization for years as a donor or has been a member for several years. By making a new donation based on a campaign, they re-enter your CRM. In this case, you want to thank them, but not welcome them as a "new donor." Merge rules can prevent the initial potential duplicates, but what if the old relation doesn't have an email address and the new one does? Or what if other reasons prevent automatic deduplication? Then you still want to prevent inappropriate communication and potentially wait for manual deduplication.

With the new step type "Wait for Deduplication" in Marketing Automation, you can now prevent this. This special step can only be placed as the first step in the journey (immediately after the trigger) and ensures that the system immediately checks for potential duplicates—instead of waiting for the usual nightly calculation.

Relations remain in this step until the system has determined that they are not duplicates. This check is performed based on the list of contacts to be deduplicated. When adding this step, you also set a maximum wait time. If the contact is deduplicated within that time, it will continue in the journey. However, if no deduplication decision has been made after the set time, the journey will automatically stop for that contact.

This wait step provides extra control in addition to the automatic merge rules you may have already set up. While these rules are primarily useful for registration forms, this journey step also offers a solution for contacts received via imports. This allows you to maintain control over your processes and prevent existing supporters from being incorrectly treated as new contacts.

Mailings/Marketing Automation: clicks on unsubscribe links no longer count as CTR/CTOR

Seeing how often links or buttons in your newsletter have been clicked is important feedback for understanding your target audience's interests and determining whether your email was successful.

It's important to distinguish between positive interactions (such as clicks to your website or a registration form) and negative interactions (such as unsubscribes). Until now, however, unsubscribe clicks were still included in the click-through rate (CTR) and click-through open rate (CTOR), resulting in less accurate statistics.

From now on, clicks on unsubscribe links will no longer be included in the CTR and CTOR calculations. This means your organization will get a more realistic picture of actual engagement with the content of your mailings. Clicks on unsubscribe links will still be recorded separately and remain visible in the click overview, but will no longer count as a "relevant" click.

Meetings & Events: adding the number of anonymous participants to a meeting

A visitor arrives at the registration desk at your event. They still want to participate, even though they weren't registered in advance. You still have room, so welcome! However, you until now you couldn't record these anonymous participants, which could have resulted in incomplete reports.

From now on, you can specify the number of anonymous participants present after the event. These values will then be included in the list and in the export of meetings, so you can still get a complete picture of the success of your meetings with a single click.

Meetings & Events: program dates available as tokens in emails

If you organize multi-day training courses, workshops, or events, you'll likely want to inform your participants via email about the exact program dates when confirming their registration. Until now, you had to manually add this information to the email body. This was cumbersome and prone to errors.

Starting with this release, you can easily add program dates and times to your email communications using tokens. This means you can automatically display all relevant days and times of the program in a registration confirmation or reminder email.

Meetings & Events: switching participants within group registrations

You're organizing a meeting where groups register. Someone has registered the entire team, but later it turns out a colleague can't make it and needs to be replaced by someone else. Until now, the registrant had to cancel the original registration and create a new one, or you had to do it manually for them. This takes time and creates administrative hassle.

From now on, registrants can easily replace a participant themselves during group registrations. When changing the registration, they can choose from existing contacts or enter a new contact. The system uses the same settings as the original registration process you set up.

If you want registrants to be able to choose from existing contacts, the "Organizations & People" functionality must be enabled for your meeting. For new contacts, the registration form for additional participants is used. The new participant automatically receives the confirmation email so everyone is informed.

Meetings & Events: meeting language settings moved and improved

For a multilingual meeting, you can add multiple languages, each with its own text, during setup. However, when deselecting an additional language, it wasn't clearly communicated that this might cause texts or titles to be lost. Because deleting a language cannot be undone, this could lead to undesirable situations.

To reduce the chance of accidentally deleting a language, you can now only change/delete a meeting's language using a separate button. Before the language is permanently deleted, an appropriate warning is now displayed.

CMS: 'meta keywords' option removed

Remember the "Wild West" days of the internet, when people created entire pages with invisible keywords to rank high in search engines? These search terms were called "meta keywords." Unfortunately, they were often misused to rank high in search results at all costs. That's why search engines now ignore these keywords and focus primarily on the content of your text, rather than lists of keywords. Therefore, we've now removed this option from the platform. Entering a meta description is still useful; it will be displayed in the search results overview.

CMS: (automatically) unpublish blogs

Do you have a blog post that becomes irrelevant after a while? You can now set the period for which the blog post should remain published. When the post is unpublished, visitors will see a 404 page.

Finance: automatically import bank transactions

It's the same old routine: download bank statements, import them, and process them. Meanwhile, colleagues are already asking, "Can you do a new import? We want to see if our campaign is effective." This manual process is time-consuming and means you don't always have an up-to-date overview of incoming payments.

From now on, bank transactions can be automatically imported via an API link with Ponto. Your transactions are synchronized fully automatically, giving you an up-to-date overview of all incoming donations and payments without manual imports.

Ponto retrieves transactions from banks four times a day, and the Procurios Platform checks hourly for updates. Instead of waiting until the end of the week, you now see new transactions within a few hours. If you send a direct mail message, you can quickly see how well it's performing—perfect for monitoring campaigns. For organizations, this means membership fee collections are immediately visible without waiting for manual imports.

Requirements:

You have set up journal entries.
You have an account with Ponto (costs: €4 per month per bank account).

Finance: updated bank transaction view

Your organization receives payments daily from members, donors, or meeting participants. Sometimes even through multiple bank accounts. You download transaction files from the bank and process the transactions in Finance.

We've been working hard recently to improve transaction processing, because what you do here ultimately tells you whether your income is accurate! That's why we've standardized the interface, which no longer focuses on transaction files but on the transactions themselves. For each bank account, you now see an immediate list of all unprocessed transactions, regardless of the file they originate from. This gives you a quick overview of your work list of transactions to review. And you can immediately see whether you're ready to download your journal entry.

A major advantage is that you can now filter by date, amount, description, and account holder. When someone calls to ask if their payment has arrived, you can search directly without having to scroll through multiple bank statements. You can also add a title to bank accounts, so you always know which account you're working with.

Importing and downloading bank files still works the same way, but this new method also takes into account that there will no longer be separate bank files when there is an automatic link between your bank and Procurios.

Mailings/Marketing Automation: preview of email content with visibility rules

When composing emails for different target groups, you can use visibility rules. For example, you can send a single email that provides paid members with additional content or local chapters with their own content. When editing such an email, it can be difficult to keep track of which email content has and doesn't have visibility rules.

From now on, you can easily hover your cursor over email content in the mailings editor to immediately see which elements have visibility rules. This makes editing complex mailings more organized and prevents you from accidentally missing rules.

Mailings/Marketing Automation: add new content faster

When adding a new content block to an email in Marketing Automation or Mailings, you often want to write your own text. That's why we've brought that option to the forefront and set it as the first tab. That saves you clicks! We've also clarified the titles of the various options. For example, "Insert free text" is now called "Add content myself" to emphasize that this is your own content, unlike the alternatives: previously created content retrieved from elsewhere in the platform.

Mailings/Marketing Automation: easier way to insert tokens into your text

Do you enjoy using tokens to personalize your emails or retrieve information from your contacts? Until now, you had to manually select and copy a token in the Mailings/Marketing Automation editor. Now, just like with various other emails in the system, there's a drop-down menu for standard tokens. For other tokens, you still have to go to the list, but now you can simply click on the token, and it will be copied to your clipboard, allowing you to easily paste it back into your email.

Have you already created a great email for somewhere in your journey, and now want to create a different version? You can now simply copy that previous email. When creating a new email, you'll now see previous emails from the same journey that you can copy.

Want to make a quick change to a journey, but don't want anything to happen in the meantime? You can now pause your journey. The triggers will remain active, and relations will wait in the trigger until the journey becomes active again. This way, you can work on your journey without losing people along the way.

Marketing Automation: more information in the overview

Are you busy creating journeys? Then you naturally want to see all your journeys and their performance at a glance. That's why the overview now includes the title, description, and four columns with statistics. A search field has also been added where you can search by title, and the number of results per page has been increased to 50, so your journeys are less likely to be spread across multiple pages.

Platform: minor additional changes

CRM: You must include an activation link in the activation email for a registration form. If the user doesn't have an activation link, it's very difficult to confirm their email address. Therefore, from now on, we'll check whether this mandatory field code is included in the email.
Donations: The overview of email templates for pre-notifications has been expanded with two additional columns: 'Use for' and 'Action'. This makes it easier to see whether the template is used in combination with a Fund or a specific Action.
Donations: The overview of Funds has been expanded with an additional column: 'Administration'. When you use multiple Administrations in the platform, you can now more easily see which Administration a specific fund is linked to. You can now also filter the fund overview by this.
