Do you want members, donors, or staff to see which messages they haven't read yet? And to get a notification when they're not on your website? Now you can, with the 'My notifications' article.
Place the 'My notifications' article on a page, and visitors see an overview of their unread messages, plus the last 20 messages they've already read. Is there a new message? A badge (a red dot with a number) automatically appears next to the corresponding menu item.

Visitors can also turn on push notifications. These appear at the operating system level, even when the visitor doesn't have your website open. On a laptop or computer, this works directly through the browser: no web app is needed for this.
Want visitors to receive notifications on their phone too? Then set up your website as a web app as well. Read more about this in the release note 'Turn any website into an installable web app'.

CMS/Communities: turn any website into an installable web app

Your organization probably manages multiple websites for different audiences. Think of a member portal (with or without a community), but maybe also an intranet for your own staff. For quick, recurring use, it's handy if that specific environment is just as easy to open as an app, without having to open the browser and look up the right website first.

That's why you can now turn any website into its own <dfn data-glossary-id="1" data-term-id="progressive-web-app-pwa-en-" class="c-term">web app</dfn>. This has several advantages. You decide on the icon yourself, so it matches your own branding. The experience is also identical to the website, minus the browser bar getting in the way. And the web app can be installed on both laptop and phone.

Does your organization have its own intranet, for example? Then you can now offer that as a web app to your staff too. Handy if you want to make certain relationship lists easily available, without staff having to open their laptop to search the CRM of the Procurios Platform. The internal community is also easy to use there.

For your members' or donors' communities, this also solves another problem. Until now, the Procurios Communities app offered this option, but this app is no longer being developed further. Did your organization use the non-branded version of the app? Then it showed the Procurios icon instead of your own branding. On top of that, a member could only link the app to one organization. For example, is someone a member of your association and of another association that also used the app? Then they had to choose, and couldn't switch easily between both communities. Because every website now gets its own web app, your members can simply install and use multiple communities side by side from now on.

One important difference from a regular app: you won't find the web app in the App Store or Play Store. Users install it through the browser. Exactly how that works differs per browser.

Under 'CMS > Manage > Websites' you'll now find the 'Web apps' section. Here you create a web app per website, with a name, description, colors, and your own icons.

Want to help your members or staff with installing it? Point your visitors to the web app by placing the 'Web app install button' article on your web pages. Want users to see an overview of their unread messages? Place the 'My notifications' article. See also the release note 'Overview of unread messages'.

CMS/Library: more control over your document archive on the website

Does your organization showcase an extensive archive of documents on your website, such as old association magazines, annual reports, or research publications? The document index is a common way to do this, and this feature has now been significantly improved.

You can now decide whether visitors download a file directly or open it in the browser. This is useful, since most browsers now have a solid built-in PDF viewer. You also choose between a list view and a thumbnail view. The thumbnail view immediately shows a preview of your PDF files and images, so visitors can recognize the right document faster.

In addition, you decide which information is visible for each document. Alongside 'created by' and file size, you can now also turn 'upload date', labels, and description on or off individually. This way, you only show what's relevant. For an archive that was uploaded all at once, for example, the upload date isn't very interesting.

Is a document's description long? It's now expandable. If the text is longer than 160 characters, it's shortened with the option to read the full text. Line breaks in the text are displayed correctly, so you can, for example, present a table of contents clearly.
The filters can also be adjusted: you decide whether visitors can filter by document type and upload date, or leave these options out.

CRM: clearer names and buttons for managing relation lists

When you manage your relation lists in the CRM, you regularly adjust a filter, share a list with colleagues, or check which columns are shown. Some buttons and settings had a name that didn't immediately make clear what they did. The 'original filter' view also looked a lot like a regular relation list, even though it serves a different purpose.

To make this clearer, the following names and layouts have been updated:

The 'Public' and 'Private' setting is now called 'Share with others' and 'Stop sharing'.

'Manage quick search' is now called 'Search settings'.

'Column management' is now called 'Columns'. You'll also find 'default sorting' in this same place from now on. This way, you can see in one overview exactly which column determines the default sorting.

The 'original filter' view has also been updated. This is where you view the underlying filter of a relation list and adjust the filter rules. Its layout now deliberately differs from a regular relation list, so the focus stays on the filter itself:

You can now easily expand and collapse the filter, so you can better check whether the relations you expect actually show up with these filter rules.

The 'Clear filter' button has been removed here, since it didn't serve a purpose in this context.

The 'Move filter' button has also been removed here. Within your regular relation lists, 'Move filter' is still available.

The button used to update the filter is now called 'Filter' instead of 'Apply filter'. This avoids confusion, since the original filter isn't overwritten right away. If you make a change, the 'Apply changes to list' button appears after filtering. That's the button that actually saves your adjustment.

CRM: manage role assignments within Local Administration

Does your organization have local departments, with a department administrator who keeps track of roles like board members and volunteers? Until now, only a central administrator could create and change these function assignments in the CRM. Department administrators couldn't do this themselves, which meant this task always ended up with the central organization.

That's why you can now set up, within <dfn data-glossary-id="1" data-term-id="memberships-organizations" class="c-term">Memberships & Organizations</dfn>, that a department administrator can manage role assignments on their own. Once you've configured this, the 'function assignments' option appears under 'Local Administration' in the CRM. Your department administrator sees all relations with an active or upcoming role within the department there, and can add or update them.

You decide which roles get access to this page, which roles they can view, and which roles they can manage. A department administrator can only manage roles that have been enabled for this, and only for relations who are members of their own department. Does someone hold a role within the department but is no longer a member? Then the department administrator can still end the role assignment. Just like elsewhere in the CRM, deleting a role assignment isn't possible.

Note: this feature only works if Memberships & Organizations is set up correctly, with a relation view for the department and the right target relation. Contact your consultant to activate this for your organization.

E-Commerce/CMS: swipe through product images in your webshop

A good photo sells. If you want visitors to your webshop to fall in love with a product, you need to show it from every angle. Whether someone is looking at a sweater, a gift package, or a ticket in your webshop, you want them to browse the photos effortlessly and get a complete picture. That builds trust and leads to more sales.

Until now, your webshop offered two separate settings for product photos: one for the main image and one for the additional photos. Because these worked independently, browsing multiple photos didn't feel smooth. Clicking a photo did open a larger view (the "lightbox") where visitors could click through all the images.

From now on, you can choose a new display for your webshop: a slideshow with thumbnails below the main image, so visitors can easily swipe through and see at a glance which other photos are available. This way, every product gets the attention it deserves and visitors can make a well-informed purchase decision.

Visitors can still zoom in through the lightbox from the slideshow. Both views stay in sync. On top of that, the lightbox itself has been improved: images load faster and the quality now matches modern screens.

You can change the display type yourself in your webshop's HTML settings. Your website's layout may need a small adjustment as a result. A great opportunity to sit down with our interaction designers and take a fresh look at your webshop's layout. Contact your account manager to discuss the options.

Finance: support for the newest CAMT.053 format (v8) - end of life MT940 coming up

When processing bank transactions, for example for donations, membership fees, or invoices, your organization When processing bank transactions, for example for donations, membership fees, or invoices, your organization depends on the file format your bank provides. Banks are increasingly moving from the older MT940 format to CAMT files, and this CAMT standard is updated regularly.

As of this release, the platform also supports the newest version of CAMT.053, version 8. This means you can count on your organization's bank transactions being read and processed correctly in the future, even as your bank moves to this newer version. Older versions of CAMT.053 will continue to work.

We also recommend switching from MT940 to CAMT for your bank transactions as soon as possible, if you haven't already. More and more banks are discontinuing support for MT940. Rabobank, for example, will stop supporting it entirely as of November 15, 2026. Does your organization currently still use MT940 files? Then it's a good idea to make the switch to CAMT now, so processing your bank transactions continues without interruption.

Tip: with automatic bank transactions via Ponto, you'll never have to import bank transactions manually again. Read more about this in the help center.

Library: faster previews of your PDF files

Your organization likely stores many documents in Library, from annual reports to forms. For images, you could already see a preview right away in the sidebar. For PDFs, however, you only saw an icon, so you had to open the file first just to check whether it was the right one.

From now on, Library also shows a preview of your PDFs in the sidebar. This lets you recognize the right document at a glance, without opening it.

These previews are cached, just like image previews. This means your platform's speed stays the same in most cases. Only the first time a PDF preview is generated may take a little longer.

Meetings & Events: export evaluation results without relation details

When organizing events, it's valuable to know how your participants experienced them. Meetings & Events lets you set up an evaluation that participants fill in after the event. Sometimes you want to share those results with others, for example with a program committee, an external trainer, or a speaker. Until now, the export of evaluation results always included the name and ID of each respondent. That made it harder to share results outside your organization, especially when you prefer to keep personal data internal.

From now on, when exporting evaluation results, you choose whether to include relation information or not. Want to share the results with third parties? Choose the export without relation information. Need internal insight into who filled in what? Choose the export with relation information.

Other changes in this release

Set decimal separator for journal export (Finance): When exporting journal entries, you may run into accounting software that requires a comma as the decimal separator instead of a period. You can now set this yourself. In the export screen, choose a period or a comma in a new field. The period remains the default option.

Updated text in the CMS 'Login' article: The labels and help text in the CMS article type "Login" have been clarified. Technical terms such as "implementation" and "session options" have been replaced with plain descriptions, so non-technical administrators can immediately understand what each setting does.

When managing your website in the CMS, you regularly work with both pages and categories. Each has its own settings, such as titles, access rights, and SEO information. The button to open those settings used to be labeled 'Edit', which didn't always make it immediately clear what you were about to change.

From now on, that button is labeled 'Page' or 'Category', depending on the context. This makes it clear at a glance what you're editing, and the button better aligns with the other buttons in the toolbar. The functionality itself remains the same.

Finance: export direct debit agreements

When a subscription is set up through a registration form with a direct debit agreement, your member enters their IBAN on that form. That information is stored with the direct debit agreement itself, not with the relation. As a result, the IBAN is not available at the relation level for exports or other uses.

You can now export direct debit agreements. The export gives you an overview of all direct debit agreements, including the associated IBAN details. If you want to make the IBAN available on the relation's record as well, you can use the export data to import the IBAN field to the relevant relations via a relation import.

Keep in mind that a relation can have multiple direct debit agreements. Which IBAN you import to a relation is your choice. If an IBAN changes later in a direct debit agreement, a new export and import will be needed to keep the data up to date.

Meetings & Events: clearer names for registration statuses

A relation has registered for your event, but emails you two days beforehand to let you know they can't make it. You update the status manually in Meetings & Events. But which status do you choose: A relation has registered for your event, but emails you two days beforehand to let you know they can't make it. You update the status manually in Meetings & Events. But which status do you choose: 'Opted out' or 'Cancelled'? And what does it mean when the event itself is also canceled?

To clear up this confusion, the status names have been updated. From now on, you'll use:

'Unknown': for a relation whose attendance is not yet confirmed. Previously, this status was called 'No response'.

'Will not attend': for a relation who has indicated they won't be coming, but who never registered. Think of an RSVP where someone confirms their absence.

'Registration canceled': for a relation whose existing registration has been canceled. Because the word 'registration' is explicitly included, there's no longer any confusion with a canceled event.

The field titles 'Is registered?' and 'Was present?' have also been renamed to 'Registration status' and 'Attendance status'. In addition, the names of email events have been clarified.

Meetings & Events: fast check-in with the QR code scanner

Your general assembly starts in five minutes and there's a line of a hundred people at the door. Manually checking off names on a list takes time and creates a bottleneck at the entrance.

With the new check-in feature, you scan participants in as they arrive using the QR code on their ticket, straight from the browser on your phone. No app, no printed lists. Each participant is automatically marked as present in Procurios. Afterward, send a thank-you email only to those who actually attended, or a 'We missed you' message to everyone who didn't show up.

Enable 'Check-in' for your event under the tab of the same name in the event settings. There you specify which relations from your CRM are allowed to operate the scanner. They open it using a personal QR code and a access code, without needing an account.
Every participant automatically receives a QR code in their confirmation email. Want to include it in another email too? Use the <dfn data-glossary-id="1" data-term-id="token" class="c-term">token</dfn>
##checkInQrCode##
. You can also test without sending an email: the QR code is available in the participant overview under the registration details. Please note that the scanner requires an internet connection.

Meetings & Events: attendance status 'Unknown' for better follow-up after your event

Your event has wrapped up. Attendees were checked in via a QR code, but some registered relations are marked neither 'Present' nor 'Absent'. Who actually showed up?

That's why 'Unknown' has been added as a new attendance status option. Relations who registered but weren't checked in automatically receive this status. After your event, you can easily filter for everyone not yet marked as present and update them as absent in one go.

Read more about managing attendance status in the Help Center

Meetings & Events: registration status 'Will not attend' and 'Reserve list' only available when the feature is enabled

In Meetings & Events, you can configure per event whether you're working with a reserve list or with the option for relations to indicate they won't be attending. Previously, the corresponding statuses 'Reserve list' and 'Will not attend' (with their previous names) were always visible, even if you hadn't enabled these options for that event. A colleague could accidentally select a status that wasn't applicable at all.

From now on, these statuses are only available when the corresponding feature is enabled for that event. This ensures that what you see always matches what you've configured, preventing unintended choices in your participant management.

You can still set up emails for these events before enabling the feature. That way, you can get your email communication ready first, and then turn on the reserve list or RSVP option when you're good to go.

Platform: link directly to dialog windows

When managing your platform day-to-day, you regularly navigate to detail pages that open in a <dfn data-glossary-id="1" data-term-id="dialog-window" class="c-term">dialog window</dfn>. For example, the settings of a specific subscription or a relation's profile. If you wanted to share that exact page with a colleague or the support team, you had to explain step by step where to click. That takes time and leaves room for confusion.

From now on, the URL in your browser updates automatically when you open a dialog window. That means you can copy and share the URL directly. Your colleague or support agent clicks the link and lands in exactly the right place.

This works in a number of places across the platform, including pages where you manage subscriptions and relations. For website pages, online store products, and product catalog items, this is not yet available.

Your organization trusts Procurios with sensitive data from your members, donors, and other stakeholders. That's why it's important that information security isn't just well-organized, but also continuously improved and tested against international standards.
Procurios has achieved ISO 27001 certification. This certification demonstrates that information security at Procurios is structurally embedded – not as a one-time project, but as an ongoing process. From how your data is handled to how systems are secured: everything has been tested against the international standard.

For your organization, this means that the data of your members, donors, and stakeholders is managed according to a controlled and certified security system. The certificate can be downloaded via My Procurios.

The certification isn't an endpoint: through annual audits, the information security management system continues to develop and meet the highest standards.

Do you have questions about what this certification means for your organization? Feel free to contact your account manager.

API: control whether an application requires permission

Your organization may use other applications alongside the Procurios Platform that members or staff need to log in to. Think of an e-learning environment or a external community. Through an <dfn data-glossary-id="1" data-term-id="oauth2-en-" class="c-term">OAuth2</dfn> integration, you can arrange for users to access all these applications with a single account. When such an application belongs to an independent external party, you want users to explicitly grant permission to share their account data. But if the third party is your supplier acting on your instruction, that permission prompt is unnecessary and only creates friction.

From now on, you can configure per integration whether the permission prompt is shown. In the settings of the relevant OAuth2 application, you'll find a new option for this. Disable the permission prompt for applications you manage yourself, so that users get direct access without an unnecessary step.

The <dfn data-glossary-id="1" data-term-id="outlook-add-in-en-" class="c-term">Outlook Add-in</dfn> also no longer asks for permission.

Finance: payment reference included in Peppol invoices

When importing bank transactions, payments with a correct invoice number and the right amount are automatically matched to the corresponding invoice. In Belgium, it is also common to use a payment reference, known as a structured communication. This is a unique reference that also enables automatic matching. You can enable the payment reference in your administration settings and display it via the PDF template and email template of your invoices.

However, when sending invoices via Peppol, the payment reference was not yet included. The recipient therefore did not have the correct reference to include with their payment.

From now on, the payment reference is automatically included in the Peppol invoice. Your debtor receives the correct reference right away, so the incoming transaction is matched automatically.

Tags: release, API, Finance, Platform

As of February 10, 2026, all customers on the production version of the Procurios Platform will use release 2026.02.
Your organization has set up a community to connect members or donors with each other. But how do you keep track of who's active, who hasn't visited in months, and who might need a little nudge? Until now, it was difficult to get these insights from the CRM.

Starting with this release, you can use expanded filter options for communities in the CRM. These let you search for relations based on their community activity:

Access: find out who has access to a community or specific channel. Useful for reports and setting journey criteria, without having to manually check the underlying relation lists.

Posts and reactions: find relations who have posted a message or reaction, optionally filtered by community, channel, or time period.

Moderator: search for who is a moderator in a community or channel.

Followers: discover who follows a channel or person, and whether they receive notifications.

A powerful application is the combination with Marketing Automation. Set up a journey that automatically reminds community users after a period of inactivity about the value of their contribution. This way, you keep your community lively without having to manually monitor everyone.

CRM: more reliable invitation for new users

You want to give a new employee, volunteer, or board member access to the platform. Through 'Create user' you send an invitation email with a personal link that allows the recipient to log in directly. Unfortunately, this link didn't always work as expected: sometimes the recipient ended up on a login screen without further instructions, or the link only worked once.

The invitation link has now been made more reliable. The link remains valid for two weeks and can be used multiple times. Additionally, when creating a user, you now receive an immediate notification if the selected website has a login restriction. This prevents someone from receiving an invitation for a website they don't have access rights to.

CRM: prevent unintended newsletter unsubscriptions during automatic deduplication

Sometimes a relation registers again with your organization - for example for an event or a new campaign - while a relation card for this person already exists. Thanks to automatic deduplication, this is neatly merged into one relation card. However, this process can lead to an unwanted problem with newsletter preferences.

Imagine: someone is already receiving your newsletter. When filling in a new form, they see the question 'Do you want to receive our newsletter?' and think: 'I already receive that, so I can skip this checkbox.' They leave the checkbox empty. During deduplication, a conflict now arises: the existing relation card has the checkbox ticked, the new one has it unticked. Which value should be retained? Until now, this could lead to unintended unsubscriptions from the newsletter.

From now on, you have full control over this. When setting up automatic deduplication, you can now choose from three options for checkbox fields (such as newsletter preferences):

Use the newest or oldest relation (as before)

'Keep checked' - in case of a conflict, the checkbox will always be ticked
'Keep unchecked' - in case of a conflict, the checkbox will always be unticked

By choosing 'Keep checked' for your newsletter preference, you prevent relations from being unintentionally unsubscribed when they fill in a new form and skip the checkbox. This way you retain your newsletter subscribers and prevent missed communication.

CRM: quickly search on properties like 'member' or 'donor'

Whether someone is a member of your association often depends on multiple criteria. Perhaps they need one of four specific subscription types, OR the 'honorary member' checkbox needs to be ticked, OR they're connected through a role to an employer that pays membership for all employees. Each organisation has its own rules for this.

Until now, you had to rebuild all these criteria in every search query. And on the relation card, you had to check multiple fields each time to see if someone met the definition. Time-consuming and error-prone, especially with complex definitions. From now on, you can use <dfn data-glossary-id="1" data-term-id="generated-properties" class="c-term">generated properties</dfn>. You configure once what 'being a member' means for your organisation, and the platform automatically checks for each relation whether they meet these criteria.

Visible on relation cards

Add the property as a field on the relation card. Instead of checking three different places, you immediately see one clear checkbox: is this person a member, yes or no.

Add it to relation lists

You can also add the property as a column in relation lists. This lets you see at a glance whether all relations are active donors, members, or meet any other property. No need to open individual relation cards to check.

Filter directly

What's new is that you can also filter on generated properties. No more complicated filters with ten criteria - just filter on 'is member'. You activate this per relation view under 'Fields from other modules'.

This saves time when building relation lists and ensures everyone in your organisation uses the same definition. No more discussions about who counts as a member.

CMS: randomly sort relation lists on your website

Your website displays an overview of affiliated companies, board members, or ambassadors. By default, these lists are sorted alphabetically. This means organizations with names starting with A always appear at the top, while names beginning with R don't show up until page two. Not exactly fair when you consider that the top positions receive much more attention.

From now on, you can also have relation lists sorted randomly. You choose whether the order changes with each page view, or whether the random order is fixed per day. This way, everyone in your network gets a fair chance at visibility.

This option was already available in the older 'Relation overview (HTML)' article type. Now you can also use random sorting in the newer options: 'Relation overview (website template)' and 'Relation overview (content templates)'.

Finance: choice between letterhead or blank paper for invoice reminders

Your organization sends invoice reminders by post and prints them yourself. For invoices, you could already choose whether to print on letterhead or blank paper. This option was missing for reminders, giving you less flexibility in your printing process.

From now on, you can choose which type of paper to print on when downloading reminders. The choice depends on the settings of the linked invoice template. When downloading multiple reminders at once that use different templates, you can specify per template whether to print on letterhead or blank paper. You can also choose to print everything on blank paper.

Finance: clearer invoice template editing

When managing your invoicing, you want invoice templates to look exactly the way your organization envisions them. With the recently added formatting options for invoice templates, however, the editing form grew considerably. This meant you had to scroll a lot to see the effect of your changes.

From now on, the editing form for invoice templates has been reorganized. Content and layout are better separated, and the preview remains visible while you edit. This way you can immediately see the result of your changes, without scrolling back and forth.

Finance: processing uncollectible invoices

Sometimes your organization faces invoices that will never be paid. Think of a company going bankrupt or an invoice that is more than a year past its due date. The invoice has already been sent, obligations have been made, and VAT has been remitted. Properly processing this situation in your accounting used to be a manual and error-prone process.

From now on, you can mark an invoice as 'uncollectible'. This is only allowed when:

the invoice is at least one year past its due date, or

the recipient has gone bankrupt

Once you mark an invoice as uncollectible, the invoice disappears from open invoices. The invoice can now be found in the new 'Uncollectible invoices' tab. The outstanding amount is set to zero. A negative amount appears in the journal report. Note: this action cannot be undone. The processing takes into account the laws and regulations of the country set in your administration. For Belgian administrations, you need to set up a general ledger account for uncollectible invoices (doubtful debtors).

This feature must be activated per administration in the settings. Also verify that the correct country is set in your administration. Consult your accountant about using this functionality.

Important: declaring an invoice uncollectible is subject to laws and regulations. Do not use this feature to remove invoices you suspect won't be paid, or for incorrectly created invoices. Use a credit invoice for those situations.

Finance: use your own references in Peppol invoices

Update January 20, 2026: This change has been reverted. The previous behavior has been restored.

Meetings & Events: emails and schedule easier to find

When organizing events, it's important that participants receive the correct information. Yet it can happen that an email is accidentally sent with outdated details, for example because the email still contained information from a previous event. This causes confusion among your participants.

To prevent this, important settings for your event are now easier to find. The 'Schedule' and 'E-mails' tabs were previously somewhat hidden under 'Settings', but now have their own place in the menu. This gives you quicker access to these fundamental parts of your event.

Are you copying an existing event as a basis for a new one? A notification now appears when you copy the emails as well. This reminder prompts you to review and update the email texts for the new event.

Meetings & Events/CMS: display multiple departments in event overviews

Your organization works with local departments that each organize their own events. On a regional or provincial website, you want to display all events from the underlying departments in one overview. Until now, you could only show activities from one specific department in the event overview.

From now on, you can select multiple departments in the event overview. This way, you can show all events from the departments within a province on your provincial website, for example.

Additionally, you can now choose to display the organizing department to visitors. This works both in the overview and on the event detail page. This option is immediately available in Sapphire templates. Using a different template? Your web administrator can implement this.

Meetings & Events: personal activity list in emails and proof of presence

At your events, participants can register for specific activities within the programme. Think of choosing a workshop during a workshop round or selecting a session when multiple options take place simultaneously. You want to send them a confirmation email clearly stating which activities they have chosen. When issuing certificates of attendance afterwards, it's also useful to mention which components someone participated in.

From now on, you can use a field code that automatically generates a personal list of all activities a participant is attending – including activities that required registration. This way, each participant immediately receives a clear and personal programme overview in confirmation emails, reminder emails and certificates of attendance.

Meetings & Events: set ticket availability down to the minute

Sometimes you want an early bird discount to end at exactly 12:00 PM, or tickets for an exclusive presale to become available at 10:00 AM. For 'Available from' and 'Available until', you can now set a specific time in addition to the date.

Meetings & Events: work faster with tickets thanks to copying and searching

When organizing events with multiple ticket types, managing them can be time-consuming. Especially when you have tickets with similar settings, or when you need to search through a long list of ticket types.

You can now copy tickets, making it faster to create new ticket types with similar settings. A search field has also been added so you can quickly find the right ticket. The ticket overview now displays extra information per ticket type as well: availability, whether there's a target audience restriction, and the number of tickets configured.

If you've only set up tickets with a restriction (for example, only available with a ticket code or for a specific target audience), a notification will appear. By always adding at least one ticket that's visible to everyone, you prevent non-logged-in visitors from getting the impression that no tickets are available.

Platform: additional options easier to find

Your organization works in the platform every day. In many places, additional actions are available, but these were only visible by right-clicking. Think of setting a focus point for an image in Library, editing a field in a CRM form, or adjusting a page in the CMS. Useful for those who know, but difficult to discover for new colleagues.

From now on, a button with three dots ('...') appears in all these places when you hover over an item. Click on it and you see all available actions for that item. Right-clicking still works as you are used to, but the dots make it clear to everyone that more options are available.

This makes it much easier to help new staff members find their way around the platform.

When managing meetings, forms, or documents in the platform, you often encounter linked items. A form configured for a meeting, an image from the Library, or a relation list selected somewhere. But where can you find that item when you want to view or edit it?

From now on, a convenient navigation icon appears in more and more selection fields. When you hover over a selected item, you'll see a button that takes you directly to that item. For dropdown lists, the icon appears next to the field and opens the current selection. For 'Select/change…' buttons with multiple items, you can click through to each item individually.

This feature is now available for meetings, the collection picker, and the document picker, among others. In the coming weeks, this will be extended to many more places throughout the platform.

You have an overview on your website of, for example, staff members, board members or working group members. You want (logged-in) visitors to be able to contact these people, for example to ask a question or request more information. For this, you can share contact details such as an email address or phone number. However, if you also have an online community from Procurios, it would be even better if contact takes place via the one-on-one conversations available there. This way, communication runs through your channels and you increase engagement in the online community.

From now on, you can directly link to community profile pages in relation lists on your website (based on content templates). This allows visitors to click through to the profile of the relevant person, where they can find the appropriate contact options through the community. This gives you more control over how contact details are shared and makes it easier for visitors to reach the right person.

This functionality is particularly useful for websites using our website template Sapphire. Interested in getting started? Contact our consultants - they can install the required module for you.

CRM: deduplicate based on IBAN

Your organisation regularly receives one-off donations via your website or imports relation data from other systems. This can result in the same person appearing multiple times in your CRM – for example, because someone fills in slightly different details with each donation, or because names are written differently in import files. This leads to duplicate relations in your CRM, cluttering your overviews and meaning that contact moments and donations are scattered across multiple cards.

From now on, you can also deduplicate based on IBAN numbers. When you run the deduplication process, the system not only compares names and email addresses, but also bank account numbers. Relations that use the same IBAN can now be directly merged. This saves manual searching and ensures a more reliable member database.

Please note: if a relation has multiple IBANs registered (for example, one for donations and one for payments of products/subscriptions), these are not compared with each other.

CRM: overview of deprecated filters

In the past, you may have created lists, views or selections using search filters that have since been replaced by better alternatives. Think, for example, of the old way of searching for cumulative donations. These old filters will continue to work for now, but will eventually be phased out. The problem: you often no longer know exactly where you've used these deprecated filters.

From now on, you'll get a clear overview of this. When you use deprecated filters in your views, lists or selections, you'll receive a notification in the issue center. A handy button takes you directly to an overview of all elements where these filters are active. This makes it easy to replace them with the new filters before the old ones disappear permanently.

Additionally, when creating new searches, you'll see which filters are marked as 'deprecated' - you can no longer select these. Deprecated filters are also automatically removed from your quick searches.

The old filters will continue to work until they are completely phased out, so your platform won't suddenly stop working. However, it's wise to replace them in time to avoid surprises later. Need help? Our consultants are happy to assist you.

CRM: reliable phone numbers through validation

You call a member to share important information, but the number doesn't work. Or you want to send SMS notifications, but you're unsure whether the numbers in your system are correct. Incorrect phone numbers in your member database can lead to frustrating situations and unnecessary administrative work.

From now on, phone numbers are better validated when entering them. You'll see a field with a country selector and a separate field for the phone number in many places throughout the platform. The system automatically checks whether the number is correct for the selected country. This prevents incorrect numbers from entering your system.

No worries about existing data

Your current member database may contain phone numbers that are no longer correct. To prevent you from being unable to save relations due to old, incorrect numbers, a fallback option is in place. For relations with an incorrect phone number, the old field remains visible, allowing you to save and edit the relation normally. Adjust the phone number to a correct one or clear the field, and it will automatically be replaced by the new field with validation.

Uniform display

Phone numbers are now displayed in a standard international format, such as '+31 6 12345678'. Existing numbers that match this format will also automatically be displayed this way.

Customized country selection

The list of countries you can choose from when entering a phone number is based on the active countries in your organization's Procurios Platform. You can configure this via Platform > Languages & Countries.

CRM: reminder for incomplete registrations

At your organisation, new relations can register via a registration form on the website. After completing their details, they receive an email with an activation link to confirm their email address. However, not everyone clicks that link immediately – some simply forget or can't find the email straight away. The result? An incomplete registration and potentially a missed relation for your organisation.

Thanks to a request from the Procurios User Group, you can now set up an automatic reminder email for this situation. When someone starts their registration but doesn't click the activation link, they'll receive a friendly reminder after a period you specify. This increases the chance that registrations will be completed successfully after all.

You decide the content of the email yourself and after how many hours the reminder is sent. You'll find these settings among the other message settings of the registration form.

Finance: clearer process for crediting invoices

A member cancels their registration for an activity for which an invoice has already been sent. Or you notice an error in a sent invoice - an incorrect amount or a product that should not have been invoiced. In such situations, you want to quickly and accurately create a credit note that is directly offset against the original invoice.

Until now, when creating a credit note, you were always first directed to an overview where you could make changes to the order lines. This sometimes caused visual confusion due to rounding differences, and in some cases actual errors with differences in amounts occurred.

The process is now divided into clear steps. You first choose what you want to do. When you view an invoice and then click 'Credit', a dialogue window appears in which you first explicitly choose what you want to do:

'Create credit note' (when the invoice has already been paid) or 'Pay invoice with credit note' (for an unpaid invoice) - when you want to credit the complete invoice and offset it directly

'Create credit note order' - when you only want to credit part of the invoice or combine multiple orders

Only after making this choice do you fill in the required information. When creating a credit note, it is created directly based on the original invoice. Only when you choose to create a credit note order can you still make adjustments to the order lines.

Credit webshop orders too

This change also solves a problem when crediting invoices resulting from webshop orders (E-Commerce). Normally, you cannot select webshop products as a product for an invoice line. When creating a credit note order for a webshop order, the webshop products from the original order are now available in the product list.

Finance: exporting invoice lines

You want insight into which products or services are purchased most frequently, or you need to maintain detailed administration where you want to report per invoice line. Until now, you could only export complete invoices, but not the underlying lines with their specific details.

From now on, it's possible to create an export of invoice lines. Instead of one line per invoice, you now receive an export file with all relevant data per invoice line. This allows you to easily analyse which products are sold most often, for example, or create reports for your accounting at the level of individual invoice lines.

Per invoice line, you'll find the following information in the export: Quantity, Product name, Price excl. VAT, VAT amount, VAT percentage, Price incl. VAT, Ledger account, VAT ledger account, VAT accounting code.

Additionally, each line naturally also contains the general invoice data, so you know exactly which invoice (and therefore which relation) the invoice line belongs to.

Finance: more flexible invoice layout

Your organisation sends invoices to companies, sponsors or event participants. The standard layout of these invoices doesn't always match your corporate identity or your clients' expectations. Some organisations prefer to show the invoice lines first before the general explanation, or to position the logo on the right instead of the left.

From now on, you can customise the layout of invoice PDF templates with two new settings:

Repositioning invoice text

The general invoice text appears above the invoice lines by default. You can now choose to place this text below the invoice lines. Any additional remarks for specific invoices will always remain directly below the invoice lines.

Logo positioning

The logo appears on the left side of the invoice PDF by default. You can now also place the logo on the right side. Please note: if you've already filled in 'dimensions' and 'padding' in the template, check that the result still meets your requirements after changing the position.

This allows you to better align invoices with your corporate identity and the expectations of those you invoice.

Meetings & Events: set columns in meeting templates

Your organisation works with templates to set up meetings efficiently. For each type of event you want to see different participant information: at business network events the organisation of participants is important to display, whilst for courses on a personal basis dietary requirements and background information are more relevant. Until now, you could only set columns in the participants overview after there were participants - which made preparing templates for colleagues difficult.

Prepare columns in advance in templates

From now on you can also determine which columns are relevant in templates without participants. A new button has been added for this in the participants overview of templates. This way you can fully prepare templates, so that colleagues can immediately get started with the right information when they create a new meeting based on your template.

Clarification: personal column preferences

This update also makes it clearer that column preferences are always personal. The setting is now called 'My columns' instead of just 'Columns'. This immediately clarifies that you're only adjusting this view for yourself. Each staff member can therefore compile their own overview based on what they're working with.

In addition, the instruction texts on this page have been made shorter and more comprehensible, and several styling issues in the menu have been resolved.

Platform: recognizable relation type in dropdown

You want to create an invoice for an organization, but there are multiple relations with the same name in your platform. One is a 'Company', the other a 'Training Provider'. Until now, you sometimes had to come up with creative solutions to identify the correct relation, or you selected the wrong one and had to correct it afterwards. This cost unnecessary time and frustration.

From now on, you'll immediately see which <dfn data-glossary-id="1" data-term-id="relation-type" class="c-term">relation type</dfn> you're dealing with when selecting a relation. A clear icon next to the name shows whether you're looking at a person, organization, or another type of relation. This works everywhere you select relations: when creating invoices, linking bank transactions, and in the filters of Memberships and Donations.

This way, you choose the right relation immediately without detours or corrections afterwards.

Platform: archiving products instead of deleting them

When invoicing subscriptions, courses or events, you use products. These products determine, among other things, which general ledger account is used for the booking. Over time, you stop using certain products - for example, a past course type or an old membership model. Until now, you could only delete these products, which meant they disappeared from all existing invoice lines. This made your administration unclear and could cause problems when consulting old financial data.

From now on, you can archive products instead of deleting them. Archived products remain in all previous invoice lines, but can no longer be selected when creating new invoices or when setting up tickets for events. This keeps your product overview clear, while preserving the history of your administration.

An important benefit: the general ledger account settings of archived products are retained. These are essential for your memorial entries and ensure that your old financial data remains correct. If you later decide to use a product again, you can simply de-archive it.

You manage products under 'Products' in the platform. There you will now find the option to archive products and possibly de-archive them again.

You regularly use filters in the CRM to find the right relations. Sometimes you want to quickly remove a filter to see the original relation list again. In those cases, you first had to expand the filter, scroll down, click 'Clear search filter' at the bottom, and then rerun the search to get an unfiltered list. "It could be easier," our users told us on the Procurios Club.

From now on, you can remove filters directly without expanding them first. The 'Remove filter' button is now always visible when a filter is active. This allows you to continue with a single click. The button to save the (un)filtered list as a new relation list is also now directly visible.

In addition, we've visually separated the search and filter functions to make the difference between the two clearer. Though the functionality itself hasn't changed a lot, it will take some getting used to for many users.

You can now also find the title of the relation list above the search bar, and the names of the various action buttons have been clarified. These are small improvements that make working with relation lists a little more pleasant.

CRM: find relations based on the year of a date

In your organization, you sometimes have to deal with specific dates that are important. Think of the year someone became a member, the year of birth for anniversary campaigns, or the year of a first donation. You could already filter by dates by searching for things like 'after January 1, 2020' and 'before December 31, 2020'. That works, but it's cumbersome and requires two separate filters.

Now you can easily filter by specific years in date fields. Simply select the year and you'll immediately find all contacts who joined, were born, or have another important date in that year.

This makes it much easier to set up targeted campaigns for anniversaries, reminders, or other year-specific campaigns. This feature was suggested by the user group and makes working with dates in the CRM much more practical.

CRM/Platform: search through long option lists when creating filters

When creating filters in the CRM, you can choose from various filtering topics: actions/campaigns, subscription types, functions, and more. Depending on how many options your organization has, it can sometimes be difficult to find the right option, especially when scrolling through long lists.

We've improved searching through these option lists. Where you could previously only scroll through expanded filter options, you can now search almost all of these lists by typing what you're looking for. Imagine you have 25 function types to choose from; you only need to type the first few letters of the function "chairman" to quickly find and select it.

When searching for relations or actions—which can include thousands of options—you'll now see up to one hundred results instead of ten. This gives you a better overview of your options. If no result is found, you'll be notified. Your search term is also highlighted in the results, so you can immediately see why an option is listed.

Meetings & Events: custom terminology for registration

When organizing events, every organization uses a slightly different communication method. One might use the term "register" for a meeting, another "make a reservation" for an event, or "join" for an activity. Until now, the text on Meetings & Events registration pages was pre-defined in the system. This meant that visitors to your website might encounter different terms than those they're used to within your organization.

Now you can customize the key texts on the registration pages to the terminology that best suits your organization. This includes texts like "Register," "Add Participants," "Confirm," and other common elements in the registration process. The customizable texts are grouped by step in the registration process, making it easy to find what you want to change. The original system text is also included for each text, providing context.

Work efficiently with templates

It's helpful to configure these texts correctly in your meeting templates right away. This will automatically update the texts for all new meetings you create based on that template. You can also edit the texts for existing meetings.

Note: If your organization uses a custom website template with these texts already edited, the new settings will not take effect. In that case, please contact our consultants to have your template updated.

Platform: action buttons directly visible in lists and tables

You're looking for a specific contact, invoice, or subscription in one of the platform's many lists. You find the right line, but to reach the action buttons, you first have to scroll all the way to the right. Especially with lists with many columns, this can be an annoying extra step that slows down your workflow.

From now on, action buttons will appear automatically when you hover your mouse over a row in lists and tables. This gives you direct access to the actions you want to perform, without having to scroll to the right first. This makes working in the platform more efficient and enjoyable, especially when working through large amounts of data.
